8. Microsoft Account Integration

This section describes how Archer accesses, uses, and protects data from your Microsoft 365 or Outlook account when you connect it to Archer. It supplements the general privacy policy above and applies in addition to the Microsoft Services Agreement and Microsoft APIs Terms of Use, which govern your use of Microsoft services.

What We Access (and Why)

Email (Mail.Read, Mail.Send). We read messages in your Outlook inbox so emails from your contacts appear in your unified Archer inbox alongside SMS, WhatsApp, and voice. We send emails on your behalf from your connected Outlook account when you reply or compose from within Archer.

Calendar (Calendars.ReadWrite). We read your Outlook calendar to identify availability when booking meetings with leads, and create calendar events on your behalf when meetings are scheduled through Archer.

Profile (User.Read). We read basic profile information — your name and email address — to associate your Microsoft connection with your Archer user account.

Offline access (offline_access). We obtain a refresh token so Archer can read new messages and calendar events in the background without prompting you to sign in repeatedly.

How We Use Microsoft Data

We use data received from Microsoft APIs solely to deliver features to you within Archer:

  • Display Outlook emails in your unified Archer inbox
  • Send emails you compose or reply to within Archer
  • Show calendar availability when booking with leads
  • Create scheduled meetings on your calendar
  • Maintain a searchable conversation history across channels

What We Do Not Do with Microsoft Data

Archer’s use of information received from Microsoft APIs adheres to the Microsoft APIs Terms of Use. Specifically:

  • We do not sell, rent, license, or share your Microsoft data with third parties for advertising, marketing, or any other purpose unrelated to delivering Archer features to you.
  • We do not use your Microsoft data to train, fine-tune, or improve any generalised AI or machine-learning model.
  • We do not allow Archer personnel to read your Microsoft data except where strictly required for security, abuse prevention, or to resolve a specific support issue you have raised, and only with the minimum scope needed.
  • We do not use your Microsoft data to target advertising to you or anyone else.

Sub-Processors

Microsoft data, like all customer data, may be processed by our sub-processors (cloud infrastructure providers and AI service providers) only as needed to deliver Archer features to you. Our sub-processors operate under data processing agreements that prohibit using your data for their own purposes, including training their own models. We do not transfer Microsoft data to any sub-processor that does not commit to these restrictions.

Data Security and Retention

Microsoft data is encrypted in transit (TLS 1.2 or later) and at rest using industry-standard encryption. Access is restricted to the minimum systems and personnel required to deliver Archer features. We retain Microsoft data for the duration of your Archer subscription unless you disconnect your Microsoft account or request earlier deletion. On disconnection, copies of your Microsoft data are removed from active Archer systems within 30 days, subject to backup retention windows not exceeding 90 days.

How to Revoke Access

You can disconnect your Microsoft account from Archer at any time:

Revoking access immediately prevents Archer from making further calls to Microsoft APIs on your behalf. Emails and calendar data already imported into Archer will remain accessible to you in Archer until you delete them or your subscription ends.
